Letters of Recommendation
Ask For Your Letters 6 to 8 Weeks Early
The new graded recommendation form takes real time — ten areas to grade, plus written comments. If your recommenders fill it in a rush at the deadline, you get quick, average grades. Not because they don’t support you — because you left them no time to do justice to your letter.
The Timeline
Four Steps, Starting 6 to 8 Weeks Out
Your recommenders are busy people with their own patients and responsibilities. This timeline gives them the room to actually do justice to your letter.
6-8wk
Ask 6 to 8 weeks before your real deadline
This is the single biggest lever you control. Early asks get thoughtful grades and real comments — late asks get rushed ones.
Day 1
Attach your recommender pack in the very first email
CV, procedure log or experience checklist, and three real moments you’d like them to remember — all in one place from the start, so nothing is a follow-up ask.
Soft
Give them a soft deadline, two weeks before the real one
This builds in a buffer. If they miss the soft deadline, you still have two full weeks before anything becomes urgent.
Mid
Send one polite reminder in between
One reminder, not several. Keep it brief and appreciative — a gentle nudge, not pressure.
What Happens If You Wait
A Rushed Recommender Is a Real Problem
Ten areas to grade plus written comments takes real time — a recommender filling this out at the last minute cannot give it the attention it needs.
Rushed grades tend to be quick and average, with two-line comments instead of specific ones the committee can trust.
This isn’t about your recommender’s support for you — it’s about the time you gave them to show it properly.

Frequently Asked Questions
Common Questions
What if I’m already inside the 6-8 week window?
Ask today, not tomorrow. The earlier you start from wherever you are, the more room your recommender has to do it well.
Should I send more than one reminder?
One is enough between your soft and real deadline. More than that starts to feel like pressure rather than a nudge.
What goes in the recommender pack?
Your CV, a procedure log or experience checklist, and three real moments from your work together you’d like them to remember. Our CaapidUp program gives you a ready format for this pack.
