The Credential Evaluation Timeline & Checklist.

Why this step derails cycles

Credential evaluation is the invisible step. Nobody posts about it. Nobody celebrates the day their WES report is issued. But it has derailed more application cycles than any exam — INBDE, ADAT, TOEFL combined.

The reason is mechanical. Universities in many countries take weeks or months to send official transcripts to a third-party agency. Some require in-person visits to the registrar. Some have specific mailing formats. Some respond once and then go silent for six weeks. If anything is incomplete, the agency rejects the file and the clock resets.

Five months feels like plenty of time when you start. It is not. Treat the timeline below as a deadline, not a guideline.

If your evaluation is not complete one month before CAAPID opens, you are not applying this cycle. You are applying next year.

Six months out

Choose your agency & open the account.

This is the slowest-feeling, highest-leverage week of the timeline.

  • Confirm which evaluation agency the schools on your list accept (WES, ECE, or both).
  • Open your account online and pay the application fee. Order the agency's official "Academic Records Request" forms — these are what your university will fill out and seal.
  • Save your reference number. You will quote it in every email for the next 5 months.

Five months out

Contact your university & submit the request.

Email is not enough. Visit the registrar in person if your country requires it.

  • Send the agency's request forms to the university registrar with a polite covering letter and your full graduation details.
  • Confirm the exact mailing format the agency requires — sealed envelope, university stamp across the seal, mailed directly from the registrar to the agency address.
  • Get the registrar contact's name, direct email, and phone number. You will need them.

Four to three months out

Documents in transit. Follow up bi-weekly.

This is the dangerous lull. Silence here is the first warning, not a good sign.

  • Track when the registrar dispatched your file. Get the tracking number.
  • Email the registrar every two weeks. Polite, short, with the reference number every time.
  • The day the agency confirms receipt, screenshot the dashboard. That date matters.

Two months out

Evaluation issued. Verify before celebrating.

A wrong degree title or missing course is fixable now, expensive later.

  • Read the report cover to cover. Confirm degree title, graduation date, and every listed course.
  • Flag corrections in writing within the agency's review window — usually 45 days.
  • Save a PDF copy. CAAPID, individual schools, and your records all need separate copies.

One month out

Forward to CAAPID. Confirm receipt at every school.

Do not assume the agency forwarded anything. Verify each school separately.

  • Initiate the "send report to CAAPID" request from your agency dashboard.
  • Once CAAPID confirms, log into each individual school portal you've applied to and confirm the evaluation is attached to your file.
  • If a school is missing it, contact the agency the same day. Do not wait. Cycles close.

Educational Credential Evaluators. Accepted by many US dental schools — verify your specific list.
Best for
CAAPID-bound applicants by default. WES Course-by-Course (ICAP) is the report most schools expect.
Schools that explicitly list ECE, or applicants whose universities have a smoother ECE workflow established.

Action: Pull your school list. Email each school's admissions office and ask which evaluation agency and report type they accept. Wait for confirmation in writing before you pay any agency fee.

Official sealed transcripts

Course-by-course transcript covering the full duration of your dental degree, sealed in an official university envelope with the registrar's stamp across the seal.

Degree certificate copy

An attested or notarised copy of your final dental degree certificate. Some agencies require both a clear scan and a sealed paper copy.

Provisional / final-year mark sheet

If your degree certificate hasn't been issued yet, the provisional certificate plus the final-year detailed mark sheet — both sealed by the registrar.

Internship completion certificate

Many countries award the dental degree only after a one-year clinical internship. The certificate confirming completion must be included for the degree to be evaluated correctly.

Agency request form

The "Academic Records Request" form downloaded from your WES or ECE account, partially completed by you and forwarded to the registrar to fill in and seal.

Passport-name verification

Your name on the transcript must match your passport. If there is any difference, request a name-affidavit from the registrar before the package is mailed.

Sealed mailing format

All documents above placed in one sealed university envelope, registrar signature across the seal, mailed directly from the registrar to the agency — never via you.

Tracking number captured

Get the courier tracking number from the registrar the day the package leaves. Save it in your follow-up file. Without it, you have no leverage if the package is lost.

Week 0

Initial submission email

Send the request to the registrar with the agency forms attached. Confirm receipt by phone the next day — never assume the email was seen.

Week 2

Status check 01

Polite email: "Following up on the request submitted on 2026. Could you confirm whether documents have been prepared for dispatch?" Quote the agency reference number.

Week 4

Status check 02 + escalation prep

If still no dispatch: copy the registrar's supervisor or the dean's office on a courteous "Could you advise expected timeline?" email. Document every contact.

Week 6

In-transit confirmation

Confirm dispatch date and tracking number. Email the agency with the tracking number so their incoming-mail team can flag it. This single step has saved many cycles.

Week 8

Agency receipt verification

Log in to your agency dashboard daily until "Documents received" appears. Screenshot the date. The evaluation clock starts here, not earlier.

Week 10–12

Evaluation issued — review & forward

Read the report. Verify every detail. Initiate the send-to-CAAPID action. Then verify each individual school portal shows the evaluation attached.

Three red flags that mean act today.

The registrar stops replying for more than 14 days. Escalate. Copy the supervisor or dean. Silence at week three is silence that costs the cycle.

The agency dashboard does not show "Documents received" within 4 weeks of dispatch. Open a support ticket with the agency the same day, attach the courier tracking number, and call the agency directly if the country allows it.
!
The issued report has the wrong degree title, missing courses, or the wrong graduation date. File a correction request in writing within the agency's review window. Do not wait until you submit to CAAPID — by then the correction window may be closed.
